Invite, manage, and remove organization members

Member Management

Manage who has access to your Securtea organization. Invite new members, adjust roles, and remove access when needed.

Viewing Members

Member List

Navigate to Settings > Organization > Members to see:

Filtering Members

Filter the member list by:

  • Status - Active, pending, all
  • Role - Specific role assignments
  • Search - Name or email

Inviting Members

Send Invitations

  1. Click Invite Members
  2. Enter email addresses (comma-separated for multiple)
  3. Select default role
  4. Add optional message
  5. Click Send Invitations

Invitation Process

When you send an invitation:

  1. Recipient receives email with invitation link
  2. They click link to create account (or sign in)
  3. They're added to your organization
  4. They receive the assigned role

Invitation Status

StatusMeaning
PendingInvitation sent, not accepted
AcceptedUser joined the organization
ExpiredInvitation past expiration (7 days)
RevokedInvitation manually cancelled

Managing Invitations

For pending invitations:

  • Resend - Send the invitation again
  • Revoke - Cancel the invitation

Managing Members

Changing Roles

To change a member's role:

  1. Find the member in the list
  2. Click the role dropdown
  3. Select new role
  4. Confirm change

Role changes take effect immediately.

Viewing Member Details

Click a member's name to see:

  • Profile information
  • Current role and permissions
  • Activity history
  • Session information

Disabling Members

Temporarily disable access:

  1. Click member's options menu (⋮)
  2. Select Disable
  3. Confirm

Disabled members:

  • Cannot sign in
  • Retain their data
  • Can be re-enabled later

Re-enabling Members

To restore access:

  1. Find disabled member
  2. Click Enable
  3. Access restored immediately

Removing Members

Remove from Organization

To permanently remove a member:

  1. Click member's options menu (⋮)
  2. Select Remove
  3. Confirm removal

What Happens When Removed

  • Immediate access revocation
  • Sessions terminated
  • Assignments and ownership transferred (if configured)
  • Historical data retained for audit

Ownership Transfer

Before removing a member who owns items:

  1. View their owned resources
  2. Transfer ownership to another member
  3. Then remove the member

Bulk Operations

Bulk Invite

Invite many users at once:

  1. Click Bulk Invite
  2. Upload CSV file with:
    email,role
    user1@company.com,member
    user2@company.com,admin
    
  3. Review and confirm
  4. Invitations sent

Bulk Role Change

Change roles for multiple members:

  1. Select members (checkboxes)
  2. Click Bulk Actions > Change Role
  3. Select new role
  4. Confirm

SSO-Provisioned Members

Automatic Provisioning

When SSO is enabled, users may be automatically added:

  • First SSO sign-in creates account
  • Role assigned based on IdP attributes
  • No invitation needed

Managing SSO Users

SSO users appear in member list with:

  • SSO badge indicator
  • IdP as authentication source
  • Auto-assigned roles

You can:

  • Change their role
  • Disable their access
  • Cannot change authentication method

Best Practices

Onboarding

For new members:

  1. Invite with appropriate role
  2. Provide orientation materials
  3. Grant access to relevant features
  4. Monitor initial activity

Offboarding

When members leave:

  1. Disable immediately
  2. Transfer any ownership
  3. Review access logs
  4. Remove after confirmation

Regular Review

Periodically audit membership:

  • Remove inactive accounts
  • Verify role assignments
  • Check for orphaned invitations
  • Update access as needed
